Difficult conversation checklist

Use this ten-minute worksheet before a conversation about conflict, disappointment, a boundary, feedback, or an important request.

    Outcome

    What realistic result do I want from this conversation? What is the minimum useful next step?

    Facts

    What did I directly observe? Remove guesses about motives, character, and what the other person “always” does.

  3. 3

    Impact

    What changed for me, the relationship, the work, or another person because of the situation?

  4. 4

    Feeling or concern

    What am I actually feeling or worried about? Choose one or two precise words.

  5. 5

    Need or value

    What matters underneath the reaction: clarity, respect, reliability, privacy, rest, fairness, or something else?

  6. 6

    Opening

    Draft four sentences: observation, impact or feeling, need, and invitation/request.

  7. 7

    Request

    Can the other person clearly answer or act on it? Replace “be better” with a visible action.

  8. 8

    Hard response

    What is the response I least want to hear? Prepare one calm sentence that returns to the topic.

    Pause condition

    When should we stop and return later? Choose a specific way and time to resume.

    Second take

    Say the opening aloud once. Remove one accusation, add one concrete detail, and try again.

A complete opening

When the last two handoffs arrived on Monday instead of Friday, I could not finish my part before the client review. I need a deadline we can both rely on. Can we look at what is blocking Friday delivery and agree on a workable plan?

Do not memorize the whole conversation

Prepare the opening, the request, and your response to pressure. Leave space to listen. A useful conversation is responsive, not a performance of a perfect script.
